The Administrative Assistant position provides administrative support to the library, particularly to the library’s dean’s office. They support the facilities needs of the library including the conference center and mailroom. They handle the administrative aspects of student hiring and timekeeping. They provide support to the library as needed to ensure smooth operations.

Duties and Responsibilities

  1. Provide administrative support to the Dean’s Office, provide support for recruitment searches, compile data for internal and external projects and surveys (e.g. IPEDs, ACRL), order office supplies, coordinate food for office gatherings.
  2. Support library conference center by responding to inquiries, managing event reservations, working with staff for A/V and room set up, and ensuring the customer receives the support needed during their reservation.
  3. Support timekeeping and vacation request processes within the college including:
    • Serve as the timekeeper in Empcenter for all library student employees (serve as back up for student supervisors on timecard approval and editing).
    • Hire all students in JobX and ensure compliance with university student hiring procedures. Track student hours and provide data to student supervisors.
    • Enter faculty vacation time into MyJob
    • Provide backup support for staff timekeeping in Empcenter
  4. Manage the library’s mailroom, supervise the mailroom’s student, serve as backup for delivering mail when student worker is not present, schedule and facilitate delivery and pickup of large items, investigate items that are missing, delayed, or otherwise out of the ordinary.
  5. Manage facilities requests, room reservations and other building needs
  6. Work on special projects as requested.

Required Knowledge, Skills, and Abilities

  • High school diploma
  • A minimum of 3 years of related experience.
  • Experience with Microsoft Office suite.
  • Strong oral and written communication skills
  • Demonstrated attention to detail, professional attitude, and ability to maintain confidentiality.
  • Ability to problem solve, multitask, prioritize, and manage time effectively.

Preferred Knowledge, Skills, and Abilities

  • Bachelor's degree
  • Supervisory experience preferred.
