Report Details
Overview
Purpose
This report delivers a detailed list of contact information (phone, email, address) for students who are eligible and/or enrolled for a given term.
It is meant to be used by colleges and areas like public safety to identify contact information for students.
For students to appear on the report, they must have been activated for the selected term by the Registrar (OTR).
Potential Uses
Description
Page Tabs
At the top of the report are page tabs to different section of the report. The first tab - Directory - focuses on the address details for each student. The second tab - Summary - contains a graphic with counts by residence hall.
Filters
Below the page tabs are the groups of filters. These allow users to slice and dice the report to find exactly what they need. Most filters are cascading, meaning if you select UARSC as a program you will only get information in the other filters related to students in UARSC. Filters will also transition across report pages if set.
Table
The main section of each page is a table of student detail. These tables can be sorted by any field and the data can be exported (instructions below). Note that the tables may scroll off the screen both horizontally and vertically so it may be necessary to use the scroll bars to see all the detail.
Exporting Data
Data can be exported to Excel from any table in the report. There are elipses at the top right corner of each table that allow for "More Options". One of those options is to export data and it will automatically push the data to Excel in a csv format.
Access DetailAccess to the report is determined by the OTR. It is generally used by college academic staff and other student services staff.
Report Glossary
Academic Level
A categorization given to students based on the stage of progression by career.
Reports that are term-based will report the student's academic level as of the beginning of the term.
Commuter
An undergraduate, degree-seeking student who does not live on or near campus in their first term of enrollment.
Students are identified as commuter students in the first term of their undergraduate career. This status remains on a student's record for the remainder of the student's career regardless of their future living situation.
Students who meet the following criteria are considered commuter students:
Prior to the census date, the Office of the Registrar codes these students into the CMTR student group in CheckMarq.
FERPA Block
A block that allows students to restrict the release of some or all of their education records based on the Family Educational Rights and Privacy Act of 1974 (FERPA).
Blocks for email, addresses, and telephone numbers can be added (and removed) by an individual student via CheckMarq. Complete FERPA blocks (which also restrict the release of the student's name) must be added or removed by the student in person with a member of the Office of the Registrar (OTR) staff. All FERPA blocks are maintained on the student's record by the OTR until the student releases the block.
The presence of a FERPA block indicates that whatever piece of information is blocked (email, address, name, etc.) is not releasable to outside parties.
Marquette's FERPA policy can be found here.
Home Address
This address type reflects a student's home address. This address is initially pulled from the student's admissions application but can be modified by the student via the CheckMarq Student Center.
In the majority of cases, the student has entered an address with an address type labeled "HOME", which is one of several types of addresses that can be entered. In the cases where the student has no "HOME" address entered, a secondary address is selected as the home address by using the following ranking:
1. Home (HOME)
2. Dorm (DORM)
3. Campus (CAMP)
4. International mailing (IMAI)
Students are asked to review and update their addresses in CheckMarq at the start of each term and have access to do so at any time during the term as well. The dorm address type is assigned by the Office of Residence Life and cannot be changed by the student.
Local Address
As addresses are self reported in Checkmarq, the local address is the address that has been entered by the student that best reflects the student's local address.
In the majority of cases, this means the student has entered an address with an address type of "DORM" or "CAMP" (dorm or campus address). Which are two of several types of address that can be entered. In the cases where the student has neither of those types, a secondary address is used as the local address by using the following ranking:
1. DORM
2. CAMP (Campus)
3. HOME
4. IMAI (International mailing)
Student Groups
Characteristics of interest that are associated with a student. This could include:
These groups are maintained by various departments across Marquette's campus. Students may be in multiple student groups. A student's membership in a particular group is added and removed by group owners at various times during the academic year. Some student groups are attached to a student for their entire Marquette career while others can be added or removed on a term-by-term basis.
For term-based reports, students are considered in a group if they are marked as in the group as of the report's date. If the term has yet to officially begin, they are considered in the group if they would be in the group at the beginning of the term. If the term has ended, they are considered members if they were in the group at the end of the term.
