Report Details
Overview
Purpose
This report delivers a detailed list of students who are eligible and/or enrolled for a given term. It is meant to be used by college and academic staff to identify students in academic programs and student groups. For students to appear on the report, they must have been activated for the selected term by the Registrar (OTR).
The program and plan attached to a student depends on whether the term has ended, has yet to begin or is in session. If the term has ended the student's program/plan at the end of that term is used. If the term is in the future, the student's program/plan as of the beginning of that term is used. If the term is in session, the student's current program/plan is used.
Potential Uses
Page Tabs
At the top of the report are page tabs to different section of the report. The first tab - Directory - focuses on the academic course of study for each student. The second tab - Summary - contains some basic counts on the elements of student level and group membership.
Filters
Below the page tabs are the groups of filters. These allow users to slice and dice the report to find exactly what they need. Most filters are cascading, meaning if you select UARSC as a program you will only get information in the other filters related to students in UARSC. Filters will also transition across report pages if set.
Table
The main section of each page is a table of student detail. These tables can be sorted by any field and the data can be exported (instructions below). Note that the tables may scroll off the screen both horizontally and vertically so it may be necessary to use the scroll bars to see all the detail.
Exporting Data
Data can be exported to excel from any table in the report. There are are elipses at the top right corner of each table that allow for "More Options". One of those options is to export data and it will automatically push the data to excel in a csv format.
Access DetailAccess to the report is determined by the OTR. It is generally used by college academic staff and other student services staff.
Report Glossary
Academic Level
A categorization given to students based on the stage of progression by career.
Reports that are term-based will report the student's academic level as of the beginning of the term.
Academic Load
A categorization based on the number of credits for progress in which a student is enrolled in a given term.
Academic load categories include:
The values for each category depend on a student's career and program. These are listed in the relevant sections of the University Bulletin.
Academic Plan
An area of study which a student pursues and may result in a degree. It is within an academic program and an academic career. For a given academic program, a student may have multiple academic plans.
Plan types include:
Sub plans are also used to identify a specific academic focus related to a plan.
Career
Describes the type and nature of classes and students' primary majors and programs.
Career categories include:
Expected Graduation Term
The anticipated term that a student is expected to complete their degree requirements.
It is based on a student's academic career and program. It is initially entered by the Office of the Registrar in CheckMarq at the beginning of students' admit term using the following conventions:
The above conventions are also used for students admitted in the spring and for transfer students.
It can be updated during the course of the student's career if changes occur. Examples of changes that may impact a student's expected graduation term include:
These changes are typically made in CheckMarq by the colleges/schools.
FERPA Block
A block that allows students to restrict the release of some or all of their education records based on the Family Educational Rights and Privacy Act of 1974 (FERPA).
Blocks for email, addresses, and telephone numbers can be added (and removed) by an individual student via CheckMarq. Complete FERPA blocks (which also restrict the release of the student's name) must be added or removed by the student in person with a member of the Office of the Registrar (OTR) staff. All FERPA blocks are maintained on the student's record by the OTR until the student releases the block.
The presence of a FERPA block indicates that whatever piece of information is blocked (email, address, name, etc.) is not releasable to outside parties.
Marquette's FERPA policy can be found here.
New Student
A student attending Marquette for the first time in their career.
Students admitted in the summer are considered a new student in the fall. Transfer students are included.
Program
A designation that typically indicates the career and college or school of a student's academic plan.
Registered
A student is considered registered for a term if they are actively enrolled in any credit bearing class, including continuous enrollment and placeholder courses. Students who enrolled but then withdrew from all courses are not considered registered on this report. Students who are only auditing classes are not considered registered on this report.
Student Department
Categorization of a students' primary major or program (graduate) based on the specific field of study.
Some examples of departments include Accounting, Biomedical Sciences, and Strategic Communication.
Student Groups
Characteristics of interest that are associated with a student. This could include:
These groups are maintained by various departments across Marquette's campus. Students may be in multiple student groups. A student's membership in a particular group is added and removed by group owners at various times during the academic year. Some student groups are attached to a student for their entire Marquette career while others can be added or removed on a term-by-term basis.
For term-based reports, students are considered in a group if they are marked as in the group as of the report's date. If the term has yet to officially begin, they are considered in the group if they would be in the group at the beginning of the term. If the term has ended, they are considered members if they were in the group at the end of the term.
Term
A specific semester of instruction. For example, fall 2018.
