Guidelines for filling interpreter requests for deaf/hard of hearing individuals
When you receive a request for an interpreter for a deaf or hard of hearing individual, feel free to work directly with interpreters you have worked with in the past and skip to NUMBER 5 below for assistance from Office of Disability Services (ODS) in making arrangements to pay for interpreting services. If you are locating interpreters for the first time, the following guidelines should help you through the process (please use and fill out completely the attached Interpreter Request Form attached):
Getting the necessary information:
- Obtain the following information from the individual needing an interpreter or CART:
- Name of the person requesting the interpreter.
- The preferred communication style of the person requesting the interpreter (American Sign Language/ASL, real time captioning/CART, C-Print).
- When/what is the event (dates, start and end times and type of event, e.g., a lecture, a workshop, a conference banquet, etc.).
- Location of the event (address and, if it applies, a building name).
- Is there a video or script or speech or other pre-prepared material that can be shared with the interpreter before the event?
- Name of contact person/phone number for the event (e.g., faculty member teaching the class or coordinator of the event who will work directly with the DHOH individual).
Identify an interpreter:
- If the individual prefers ASL, contact any of the individuals listed below to determine availability for the dates and times requested (in the past, the following independent contractors, individuals or agencies have worked for Marquette and are listed in the order of frequency of working for the University). If events last longer than an hour and a half, a team of two interpreters may need to be hired. The interpreter will clarify whether this is necessary or not:

Working with the interpreter(s):
- Once interpreter is identified:
- Exchange contact information (who should the interpreter call if an emergency? How can you reach interpreter day of event? Etc.), and provide address and directions to the building or location of the event.
- Provide parking information (Interpreters are generally responsible for their own parking expenses, but may need to know what type of parking is available, the cost, and where the parking is located. You may offer to arrange parking if you choose.)
- Make arrangements for appropriate room-set up (plugs? Podium? Location? Special table chairs?)
- If there are scripts, lists, lecture notes, or pre-prepared materials, if possible, work with the interpreters to share these before the event.
- The day of the event, make arrangements for someone to meet the interpreter and the hard of hearing/deaf individual requesting the service at the event to assure each arrives and are introduced. Also check that the set-up is satisfactory.
Processing payment information:
- All payments will be arranged through ODS using the information provided on the Request for Interpreter Form. The completed Request for Interpreter Form much be summated to ODS at least 2 weeks prior to the event.
- You will also need to complete
Brief instructions for this form;
- On the top of the form, you will need to fill in Professional Interpreting Enterprise
- Professional Interpreting Enterprise will need to complete the information at the bottom of this form, under the title “Contractor”
- You will complete Exhibit A
- the Request for Interpreter Form. The completed Request for Interpreter Form much be summated to ODS at least 2 weeks prior to the event.
- Each interpreter must itemize their work according to: travel time, preparation, and interpreting time. Request interpreter to provide you an email, fax, or letter that details an estimate interpreting cost and enter this information on the Request for Interpreter Form.
- Forward completed Request for Interpreter Form to ODS, attention Jeanne Ezzell or Heidi Vering, Marquette Hall 05.
- Once ODS received the completed Request for Interpreter Form, ODS will process all payment information directly with the interpreter.
